This notice explains what personal information North and Nimble collects, why, how it's looked after and what your rights are. It covers this website, the First Six Months assessment, our emails and our coaching work.

Who we are

North and Nimble Limited is a leadership coaching business run by Marguerite Farmer. We're registered in England and Wales (company number 09927877) and we're the controller for the personal information described here. We're registered with the Information Commissioner's Office, reference ZA271839.

If you have a question about your information, or want to use any of your rights, email marguerite@northandnimble.co.uk.

What we collect

Most of what we hold comes straight from you. Depending on how you use our services, that can include:

•      Contact details: your name, email address and phone number, and your job title and organisation if you give them

•      Assessment information: your answers to the First Six Months assessment and the results it produces

•      Booking details: the date and time of any call you book, and anything you add to the booking form

•      Coaching information: notes from our sessions, goals you've agreed, and any feedback forms you complete

•      Email activity: whether you open our emails and which links you click

•      Website data: basic information about how you use this site, collected through cookies (see Cookies below)

•      Payment details: invoices and payment records if you buy coaching or a workshop. We don't see or store your card details

Occasionally someone else gives us your details, for example an employer arranging coaching for you, or another coach referring you. When that happens we'll let you know at the start of our work together.

The First Six Months assessment

The First Six Months assessment is a free online questionnaire for leaders who are new in role. It runs on a separate site, first-six-months.vercel.app, and here's what happens to your information when you use it:

1.     You give your name and email address and answer a set of questions about how your first months in role are going.

2.     Your results are worked out automatically from your answers and shown to you on screen. They're a starting point for reflection, not a judgement about you, and nothing is decided about you because of them.

3.     Your name, email address, answers and results are stored in MailerLite, our email provider, so we can email your results to you and Marguerite can see them. She won't contact you about them unless you've asked her to or agreed to hear from her.

4.     If you'd like a short series of follow-up emails, you can opt in. You'll only get these if you choose to, and you can unsubscribe at any time.

5.     If you book a call afterwards, your results may be used to shape that conversation.

Coaching clients and sensitive information

Coaching conversations are confidential. Session notes are kept to support your coaching and aren't shared with anyone else, including your employer, unless you agree or the law requires it. If your employer is paying, we'll agree at the start what, if anything, they'll be told (usually attendance and broad themes only).

Some of what you tell us may be more sensitive, for example information about neurodivergence, health or wellbeing. The law calls this special category information. We only record it if it's relevant to your coaching and you've given your explicit agreement, and you can ask us to remove it at any time.

The only time we'd share something without your agreement is if we believed you or someone else was at serious risk of harm, or we were legally required to.

If you're coached through another organisation (for example as an associate coach for a partner provider), that organisation may be the controller for your information and its own privacy notice will also apply. We'll tell you if that's the case.

Transcripts and AI tools

A coaching session is only recorded or transcribed if you and Marguerite both agree to it at the time. Transcripts are made through Zoom or Microsoft Teams and kept only until the session notes are written, then deleted.

Marguerite sometimes uses AI tools (Claude and Microsoft Copilot) to support her own reflective practice and admin, such as summarising themes or drafting follow-up resources. She only ever does this with names and any identifying details removed, so these tools never receive information that could identify you. The tools are set up so that nothing put into them is used to train AI models.

Why we use your information

UK data protection law says we need a lawful basis for each thing we do with your information. These are ours:

•      Replying to your enquiries and arranging calls: legitimate interests (responding to people who contact us)

•      Running the First Six Months assessment and showing your results: legitimate interests (providing a tool you've chosen to use)

•      Sending the assessment follow-up emails and the Leader Compass newsletter: consent, which you can withdraw at any time

•      Delivering coaching and workshops you've booked: contract

•      Recording sensitive information shared in coaching: explicit consent

•      Keeping invoices and financial records: legal obligation

•      Understanding how the website and emails are used, so we can improve them: consent for non-essential cookies, and legitimate interests for basic email statistics

We don't sell your information, and we don't use it to make automated decisions that have a legal or similarly significant effect on you.

Who we share it with

We use a small number of trusted services to run the business. They only process your information on our instructions and have to keep it secure:

•      Squarespace: website, contact forms and website statistics

•      Vercel: hosting the First Six Months assessment, including short-term technical logs

•      MailerLite: email newsletter and follow-up emails

•      Calendly: booking calls

•      Zoom and Microsoft Teams: video coaching sessions

•      Microsoft (Outlook and OneDrive): email with clients who use Teams, and storing coaching notes and business documents

•      Google (Gmail and Sheets): business email and bookkeeping records

•      Our accountant: preparing accounts and tax returns

We may also share information if the law requires it, or with your agreement (for example, with a referrer or employer).

Some of these services are based in, or store data in, the US or elsewhere outside the UK. Where that happens, we rely on the safeguards UK law allows, such as the UK-US data bridge or the UK's approved contract terms.

How long we keep it

We keep information only as long as we need it:

•      Enquiries that don't lead to work: 12 months from last contact

•      Assessment answers and results: 12 months, or until you ask us to delete them

•      Email list details: until you unsubscribe, then removed within 30 days

•      Coaching notes: 6 years after coaching ends

•      Invoices and financial records: 6 years from the end of the financial year they relate to, as required by HMRC

How we protect it

Your information is stored in password-protected accounts with two-step sign-in where available, on devices that are encrypted and kept up to date. Only Marguerite has access to coaching notes.

Your rights

Under UK data protection law you have the right to:

•      ask for a copy of the information we hold about you

•      ask us to correct anything that's wrong or incomplete

•      ask us to delete your information

•      ask us to limit how we use it, or object to us using it

•      ask for your information in a format you can pass to someone else

•      withdraw your consent at any time, where we're relying on it

There's no charge for any of this. Email marguerite@northandnimble.co.uk and we'll reply within one month. You can unsubscribe from our emails at any time using the link at the bottom of each one.

If you're unhappy with how we've handled your information, please tell us first so we can try to put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
